Pole Vault Elite

Terms of use

Pole Vault Elite · Version 1, effective Nov 4, 2026

Draft for Collin: review before publishing. Check the three items marked [Collin: …], then delete these lines and publish. This is plain-language, not legal advice. A quick review by an Indiana attorney is worth it, mainly the "Limitation of liability" section.

Pole Vault Elite Terms of Use

These terms apply when you use the Pole Vault Elite member site and app at https://hq.polevaultelite.com ("the site"). By creating an account or using the site, you agree to them, to our Privacy Policy, and to the Member Handbook & Policies Agreement you sign on the site. If these terms and a document you signed differ, the signed document wins.

Your account

  • Give accurate information and keep it up to date, especially emergency contacts and medical information.
  • Keep your sign-in private (password or passkey). You are responsible for what happens under your account. Each person uses their own login; don't share one.
  • Parents and guardians must be 18 or older. Athletes 13 to 17 may have their own login, either turned on by a parent or started themselves and approved by a parent. Children under 13 are added by a parent, and only a parent can turn on their login.

Parents and guardians

If you add or approve an athlete under 18, you confirm that you are their parent or legal guardian, and you agree to these terms and the club's documents on their behalf.

  • You are responsible for what you buy, and for what your athlete buys with their own login. Under Family → [athlete] → Settings you choose whether they can't use your payment method, ask first, or can use it without asking.
  • You can see and manage your athlete's information, and you can turn off their login at any time.

Club documents and safety

Training at Pole Vault Elite requires a signed waiver for the current calendar year (a new one every year), the Member Handbook & Policies Agreement, and any other documents the club asks you to sign on the site. These are separate agreements and apply in addition to these terms. Until the required documents are signed, booking and check-in may be paused. Follow the coaches' instructions and the club's safety rules at all times.

Memberships and billing

  • Annual membership runs January 1 to December 31 and does not renew automatically. Every participating athlete needs one for the current year. It does not include classes.
  • Monthly membership renews automatically each month and is charged to your saved payment method until you cancel.
  • Cancelling or suspending a monthly membership needs 30 days' notice. If you give notice within 30 days of the next billing date, the next month is still charged. Suspension because of an injury (with medical documentation) earns a credit for charges after your notice, and reinstating needs 30 days' notice.
  • Prices, what each program includes and how it renews are shown before you buy and in Billing afterwards.
  • By saving a payment method you authorize the club to charge it for bills when they are due: memberships, renewals, meet and event fees, and fees described in these terms.
  • Payments are processed by Stripe. The club never sees or stores your full card or bank numbers.
  • If a payment fails, booking and other access may be paused until the balance is paid.
  • Refunds: Suggested: "Membership fees are not refunded except as described above or required by law. Meet and event refunds follow the rules shown on each meet. The club may refund or credit your account at its discretion.

Practices, check-in and no-shows

  • Monthly members are booked into their regular practices automatically. Keep your reservations accurate.
  • Cancel at least 2 hours before a practice on the site if you can't make it. Within 2 hours, ask the club.
  • Every athlete must be checked in at every practice they're booked for. Check in by scanning the club's code at the gym with your own phone, or ask a coach. It's up to the athlete (or parent) each day. Coaches don't track who hasn't checked in.
  • If an athlete is booked, doesn't cancel in time and isn't checked in, it may count as a no-show, and a $20 no-show fee may be charged.
  • Check in only yourself, or athletes in your family who are actually at the club. Never check in someone who isn't there, and don't share or post the club's check-in code.

Meets and events

  • Registering for a meet or a meet series, including any waiver or questions for that meet, is done on the site. The price, who it's open to, the deadlines and the meet's refund and withdrawal rules are shown when you register.
  • The club may change, postpone or cancel a meet (for example, for weather or safety). When the club cancels, it follows the refund or credit rule shown for that meet.

Practice videos, PRs and recruiting profiles

  • Practice videos, PRs and notes the club adds are for your athlete's training. Don't download, repost or share other athletes' videos or information without their family's permission.
  • PRs may appear on the club's PR wall and leaderboards. A parent (or an adult athlete) can turn the PR wall off.
  • A recruiting profile is shared only the way you choose. If you make it public or share its link, anyone with the link (for example, college coaches) can see what's on it. You are responsible for keeping it accurate.

Daily games

Daily games such as Vaultle and Daily Vault are just for fun. There are no prizes unless the club announces them. Play only as yourself, one play per day. The club may remove scores or access for cheating or misuse. Leaderboards follow the same name and opt-out rules as the PR wall.

Acceptable use

Don't misuse the site. This includes:

  • trying to see other families' information;
  • sharing your login;
  • uploading content you don't have the right to share;
  • harassing anyone;
  • doing anything unlawful or harmful to the site or other members.

The club's Code of Conduct in the Member Handbook applies on the site too, including positive social media conduct.

Photos and content you add

You keep ownership of photos and other content you add. You allow the club to store and display them on the site for running the club: for example, a profile photo at check-in, or a video in your athlete's training history. The club won't use them publicly (for example, on social media) without your permission.

Messages

By creating an account you agree to receive emails and notifications about your account, bookings, documents and billing. Club news and reminders can be turned off in Profile → Notifications.

Availability and changes

VaulterHQ is new and still growing. We work to keep it available and accurate, but we can't promise it will always be available or error-free, and we may change or remove features. If something looks wrong, especially a charge, tell us and we'll fix it. We may change these terms. When we do, we publish the new version here and ask you to agree to it the next time you use the site.

Ending your account

  • You can ask to delete your account from Profile → Delete my account. The Privacy Policy explains what is kept.
  • The club may suspend or close accounts that break these terms, the Member Handbook or the club's rules.
  • Amounts already owed remain due, and the cancellation notice rules above still apply.

Limitation of liability

The site is provided "as is." To the fullest extent the law allows, the club is not liable for indirect or consequential losses from using the site, and its total liability for any claim about the site is limited to the amount you paid the club in the 12 months before the claim. Nothing in these terms changes the waiver you signed for training and competing.

Governing law

These terms are governed by the laws of the State of Indiana, USA.
